Dear WeVysian,

This Leadership Manual is designed to acquaint the PREVAILING and NOVEL LEADERS of WeVysya to its culture and vision. A Leader will always be entrusted to uphold a relentlessly high standard. The achievement expectations from them will always be awe-inspiring for the others. The very essence of leadership is to work together persistently to achieve a common goal or objective. Auxiliary, we believe that the ability to learn is the most important trait a leader can have. Therefore, Leadership and learning are inseparable and we are all gathered here to attend WeVysya LAMP (Leadership Accelerator Management Program).

Correspondingly WeVysya believes that their Leaders plays a very significant role towards achieving the mission as without competent leaders it is like a ship sailing without a captain guiding which way to go. SELECTION OF LEADERS

1.     Global Team: Appointed by Founder in conjunction with Immediate Past Global President and Global President.

2.  State Core Team: Appointed by the Global President in conjunction with the Immediate Past Global President and Immediate Past State President, the House team, and zonal team.

3. Zonal Team: Appointed by the State President in conjunction with the Global President and Immediate Past State President, the House team, and the zonal team.

4. House Management Team (House President, Secretary and Treasurer): Appointed by State President in conjunction with Immediate Past State President.

Note: WeVysya members are allowed to submit their nomination for taking up roles in State Core Team and House Management Team by 31st of December every year by sending an e-mail (reachus@wevysya.com) with a detailed explanation on the tasks done during the year.

LEADERSHIP TENURE

All Leaders at WeVysya chair the position for one year starting from 01st of April to 31st of March. Exceptional performers can be re-appointed by the approval of the Global President or Founder or repositioned in the Advisory Board to support the upcoming Leaders. All Leaders need to adhere to the organisation policies without any exception. 

ROLES AND RESPONSIBILITIES

GLOBAL PRESIDENT:

1.     Prepare the yearly growth strategy along with the areas to focus in conjunction with Founder and Immediate Past Global President.

2.     Discuss with Global Board Leaders on the strategies to achieve for the year along with the methodology to execute the same for successful accomplishment.

3.     Prepare annual budget along with Immediate Past Global President and Vice President Finance.

4.     Conduct monthly meetings with Global Board Leaders to assess the direction of the organisation and ensure it is in line with the planned growth strategy.

5.     Have monthly meetings with State Presidents to mentor/guide them. Also understand their challenges and provide resolutions. Appraise the state of affairs to Global Board with minutes of the meeting. Meeting with Zonal Presidents and House PSTs will be done only on need basis. To facilitate and guide organisations operations to ensure goals and objectives are attained.

6.     Responsible for smooth functioning of all houses in all states and recommend development plans for their progress.

7.     Act as a visionary to inspire team with strong actions and influence their behaviour with high level emotional intelligence.

8.     Plan events that enhance motivation and team building across all levels of the organisation. Publish the schedule half-yearly to ensure maximum participation.

9.     Planning and execution of Annual Event (Manam).

10.  During the last quarter, mentor and train the Global President Elect for handling the upcoming role efficiently.

11.  All the proposals and reports received by the Global President must be discussed in Global Board. After Global Board approval the Global President can take necessary actions.

 

IMMEDIATE PAST GLOBAL PRESIDENT

1.     Prepare handing over document to appraise the upcoming Global President on the pending work and unrealised goals.

2.     Review and approve the handing over document prepared by State Presidents, Zonal Presidents and House PSTs to appraise the upcoming Leaders on the state of affairs and pending tasks.

3.     Continuously evaluating the activities of the Global President and formulating plans to correct if there is any deviation from planned activity. If required, escalate alarming issues or problems to Founder.

4.     Monitor activities of new Leader’s from the State Core Team for one quarter to ensure that they have adequate skills to perform in their new roles and check if they are working in-line with the organisation objectives. Propose or suggest plan of action if improvement needed. If required, escalate alarming issues or problems to Global President and the Global Board.

5.     Always suggest new Leaders the areas to focus and monitor the new team dynamics.

6.     Ensure all the planned events enhance the positive vibes internally and externally. Ensure they are conducted as per intended schedule.

7.     Ensure Graduation Programs are conducted at regular intervals in all Houses to ensure WeVysya ethics and values imbibed in all new members.

8.     Chairing the meetings during the absence of Global President and appraise the Global President with minutes of the meeting.

9.     Assist Founder in up keeping the Whistle Blower policy.

 

GLOBAL PRESIDENT ELECT

1.     During the last quarter; work closely with Global President on all activities and submit to the Founder a monthly report on the activities involved and learnt.

2.     Help Global President for conducting Annual Event (Manam).

3.     Analyse and apprehend the handing over document related to all upcoming Leaders across the organisation.

GLOBAL VICE PRESIDENT

1.     Suggesting the Global President on the yearly growth strategy along with the areas to focus for the upcoming year.

2.     Assisting the Global President in designing the methodology to execute the growth strategy of the year.

3.     Submit their respective performance strategies for the year to the Global President.

4.     Evaluate the landmarks accomplished and submit the performance reports to Global President every quarter.

5.     Actively participate and contribute valuable suggestion in all Global Board meetings with an aim to attain the planned goal.

Global Vice President’s Classification:

·      Global Vice President - Finance: Prepare financial statements, business activity reports and forecasts. Further, monitor financial details to ensure that legal requirements are met.

·      Global Vice President - Expansion: Contribute to the headcount and revenue of the organisation by starting new houses and increasing the members in the existing houses.

·      Global Vice President - Training: Conduct training programs for the newly inducted members, enhance member skills and imbibe organisation culture across all levels.

·      Global Vice President - Branding, Social Media & Technology: Research the target audience and competitors to build image. Enhance brand value and build relationships.

·      Global Vice President - Strategy (Internal): Suggest and implement best market practices to enhance the organisation ability to reach goals and attain success.

·      Global Vice President – Ethics and Values: Ensure all members in the hierarchy have essential morals and values. To build a positive character with vital trades such as compassion, respect, kindness and humility. Ensure we follow the DNI norms.

·      Global Vice President - Strategy (External): Advise and implement initiatives that will help development of business and increase revenue. Target initiatives that help to build corpus fund.

·      Global Vice President - Events & Initiatives: Planning and hosting of various events related to business activities and social cause. Aim in motivating the members and also enhance the spirit of togetherness and team building.

·      Global Vice President - Memberships: Retain existing members by ensuring timely renewals and also network to increase new memberships.

·      Global Vice President - Exergy: Encourage entrepreneurs to expand business by bridging the gap between themself and the investors.

STATE PRESIDENT

1.     Formulate the yearly growth strategy of State in conjunction with Global President, Immediate Past Global President and Immediate Past State President.

2.     Plan and execute events; ensure the event calendar is submitted to the Global President.

3.     Make sure there is expansion in number of Houses along with increase in member’s strength across all the houses in the state.

4.     Implement organisational policies and continuously monitor and give feedback to Global President on need basis to improvise.

5.     Conduct monthly meetings with Zonal President and House PST’s to motivate, mentor/guide them. Also understand their challenges and provide resolutions. Appraise the state of affairs to Global President with minutes of the meeting.

6.     Ensure Zonal President and House PST’s have adequate skills to shoulder the responsibility for smooth operations of the House.

7.     Monitor and maintain discipline and decorum at the House Meetings. Ensure harmony amongst the members, House PST’s and the office bearers.

8.     Ensure member attendance and visitor attendance is balanced aptly to meet the meeting objectives.

9.     Actively participate and contribute valuable suggestion in all the meetings with an aim to attain the planned goal.

10.  Make sure all the houses conduct the business meetings regularly as per schedule and implement innovative methodologies in meetings to boast the morale of members.

11.  Ensure prominent personalities are invited to meetings for enabling the members to interact and learn.

12.  Submit monthly performance report related to the State to the Global President.

13.  Head the state DRT (Dispute Redressal Team) and submit the report to Global President if any issues are addressed.

STATE CORE TEAM

 

Core Member - Membership:

1.     Motivate and retain existing members and ensure timely renewals along with new additions.

2.     Prepare the category list and ensure that there is no category collision happen in the house with induction of new member.

3.     To enhance the membership options; continuously think of innovative ideas to have various category options without disturbing the business avenues for existing members.

4.     Need to conduct regular meetings with the respective house membership chairman and continuously monitor their activities.

5.     Must propose and execute various business drives and other innovative initiatives to attract new memberships.

6.     Actively participate and contribute valuable suggestion in all the meetings with an aim to attain the planned goal.

7.     Submit monthly performance report to the State President.

8.     Based on the category availability, facilitate the inter-house transfer of membership, when any existing member requests.

Core Member – Administration

1.     Monitor and maintain discipline and decorum at the House Meetings.

2.     Ensure harmony amongst the members, House PST’s and the office bearers.

3.     Ensure member attendance and visitor attendance is balanced aptly to meet the meeting objectives.

4.     Responsible to encourage “I to We’s” to enhance motivation and team building. Ensure all members are aware of each other’s business to promote each other.

5.     He has to co-ordinate for 8 Min Presentation by Members and encourage them for Inter house Presentation also upon availability of slot

6.     Actively participate and contribute valuable suggestion in all the meetings with an aim to attain the planned goal.

7.     Submit monthly performance report to the State President.

Core Member – Events & Activities

1.     Ensure all the planned events enhance the positive vibes internally and externally. Ensure they are conducted as per intended schedule with maximum participation.

2.     Execute the planned events as per budget and focus on business development for members by mutually connecting them.

3.     Arrangements of the venue must be as per WeVysya standards.

4.     Along with business events ensure social events are planned with WeVysya family members.

5.     Responsible for branding the events in all social media platforms.

6.     Actively participate and contribute valuable suggestion in all the meetings with an aim to attain the planned goal.

7.     Submit monthly performance report to the State President.

ZONAL PRESIDENT

1.     Responsible for researching and developing new houses in the respective jurisdiction / Zone.

2.     Planning and executing new marketing initiatives with a focus to identify new opportunities.

3.     Contacting potential members to establish rapport and arrange meetings to comprehend their needs.

4.     Increasing the membership benefits/welfares for current members while attracting new ones by conducting business events.

5.     Handling all the activities related to launch of new house in conjunction with State President.

6.     Member of the state DRT (Dispute Redressal Team) along with the State President.

7.     Support State President in conducting the business meetings as per schedule and suggest innovative methodologies in conducting the meetings so that there is a boast in the morale of members.

8.     Ensure prominent personalities are invited to meetings for enabling the members to interact and learn.

9.     Handle all the administrative activities related to new house launch.

10.  Actively participate and contribute valuable suggestion in all the meetings with an aim to attain the planned goal.

11.  Submit monthly performance report related to the Zone to State President.

ZONAL SECRETARY

1.     Responsible to encourage “I to We’s” to enhance motivation and team building. Ensure all members are aware of each other’s business to promote each other.

2.     Prepare the category list and ensure that there is no category collision happen in the house with induction of new member.

3.     To enhance the membership options; continuously think of innovative ideas to have various category options without disturbing the business avenues for existing members.

4.     Key to all the communications related to the zone, ensure all the messages and notices are informed timely and aptly.

5.     Prepare minutes of the meeting and ensure it is communicated across the organisation hierarchy.

6.     Actively participate and contribute valuable suggestion in all the meetings with an aim to attain the planned goal.

7.     Submit monthly performance report related to the Zonal President.

8.     Responsible for planning and executing Nuggets. Ensure prominent personalities are invited to undertake the event.

HOUSE PRESIDENT

1.     As a brand ambassador you are the face of the organization; ensure active participation by networking in the house meetings with all the members and visitors.

2.     Support State President in conducting the business meetings as per schedule and suggest innovative methodologies in conducting the meetings so that there is a boast in the morale of members.

3.     Responsible for smooth functioning of the house with positive vibes. Recommend development plans for its progress.

4.     Implement organisational policies and continuously monitor and give feedback to State President on need basis to improvise.

5.     Execute the planned events as per budget and focus on business development for members by connecting them.

6.     Approve the new members inducted by Chairman - Membership Committee.

7.     Ensure all new members are trained and have adequate knowledge about WeVysya business culture.

8.     Submit monthly performance report related to the house to State President.

9.     Observe Member, Secretary, Treasurer and office bearer’s dynamics and ensure that there is ample motivation to do team work.

10.  Escalation to State President along with Zonal President if any discrepancy perceived in the organization.

11.  Actively participate and contribute valuable suggestion in all the meetings with an aim to attain the planned goal.

12.  Member of the state DRT (Dispute Redressal Team) along with State President and Zonal President.

HOUSE SECRETARY

1.     To prepare the agenda for meetings in conjunction with the House President.

2.     Make arrangements including venue, date, time and hospitality for all the meetings.

3.     Ambassador of the house to accompany all important delegates during their visit.

4.     Key to all the communications related to the house, ensure all the messages and notices are informed timely and aptly.

5.     Prepare minutes of the meeting and ensure it is communicated across the organisation hierarchy.

6.     Scrutiny of new member’s application and submit suggestions to Chairman - Membership Committee.

7.     Make sure that no category collision happen in the house with induction of new member.

8.     In-charge of attendance monitoring and time tracking of the members and decrease the rate of absenteeism.

9.     Consolidate the 8 mins presentations and confirm the slots to the respective members.

10.  Observe member and office bearers dynamics and ensure escalation to House President if any discrepancy perceived.

11.  Collect and collate reports from office bearers and submit the same to House President.

12.  Call for and receive nominations for office bearer positions and submit the same to House President.

13.  Maintain registers of members’ names and addresses along with emergency contact numbers.

14.   Act as the public officer of your house liaising with visitors, affiliated bodies and government agencies.

15.  Actively participate and contribute valuable suggestion in all the meetings with an aim to attain the planned goal.

HOUSE TREASURER

1.     Responsible for the finances of the house and maintain the books of accounts and submit the same to House President on monthly basis.

2.     Help the House President in drafting the annual budget of the house. All event budgets must be planned and proposed on need basis.

3.     Deal efficiently and effectively with all invoices and bills related to receivables & payables.

4.     Keep up to date records of all the financial transactions.

5.     Ensure that funds are spent as per the planned budget; any deviations escalate to House President.

6.     Post the summary of the house meeting related to visitors, links and deals and other important financial information must be communicated across the organisation hierarchy in timely manner.

7.     Responsible for collecting meeting fee from members and visitors.

8.     Coordinate with WeVysya Global office for reconciliation of payments (receivables and payables).

9.     Monitor Membership renewals and follow-up for payments.

10.  Actively participate and contribute valuable suggestion in all the meetings with an aim to attain the planned goal.

HOUSE MANAGEMENT TEAM

Membership Committee Chairman

1.     Select & appoint membership committee team members of five for handling category list, follow-up with visitors, conflict management, due diligence of new member and follow-up for renewals.

2.     Prepare the category list and ensure that there is no category collision happening in the house with the induction of a new member.

3.     Share the list of vacant categories to the house members to bring in visitors.

4.     After the meeting, have a pep talk with the visitors and also clarify their doubts.

5.     Follow up with the visitor and help them in completing the membership joining process.

6.     Motivate and retain existing members and ensure timely renewals along with new additions.

7.     To enhance the membership options, continuously think of innovative ideas for various category options without disturbing the business avenues for existing members.

8.     Conduct regularly meet with the respective house management team and monitor their activities.

9.     Must propose and execute various business drives and other innovative initiatives to attract new memberships.

10.  Actively participate and contribute valuable suggestions in all the meetings to attain the planned goal.

11.  Submit monthly performance reports to the House President.

12.  Based on the category availability, facilitate the inter-house transfer of membership when any existing member requests.

Social Media & Tech Committee Chairman

1.     Select Social Media committee team members of 3 People.

2.     The above 3 people can be tasked with Clicking Photos/Videos, Going Live, and communicating with members for business materials.

3.     Formulate the Meeting Flyer 3 days before the meeting.

4.     Prepare Super Member Flyer 3 days before the meeting.

5.     Organize the Birthday Flyer of the member.

6.     Prepare Events or Activities flyer.

7.     Ensure the Super Member presentation goes live on social media platforms during the session.

8.     Upload all meetings/events/activities photos and videos on social media.

9.     Promote members' Business Flyers and Videos by posting them on social media.

 

Events Committee Chairman

1.     Select two events committee team members for planning and executing the event

2.     Ensure all the planned events enhance the positive vibes internally and externally.

3.     Ensure they are conducted as per the intended schedule with maximum participation.

4.     Execute the planned events as per budget and focus on business development for members by mutually connecting them.

5.     Arrangements of the venue must be as per WeVysya standards.

6.     Along with business events, ensure social events are planned with WeVysya family members.

7.     Responsible for branding the events on all social media platforms.

8.     Actively participate and contribute valuable suggestions in all the meetings to attain the planned goal.

9.     Submit monthly performance reports to the House President.

Venue & Visitors Committee Chairman

1.     Select two venue & visitor committee team members for collecting meeting fee and coordinating with visitors to ensure they network and interact with members

2.     Responsible for handling timely venue booking.

3.     Selecting the menu for breakfast.

4.     Assisting treasurer in meeting fee collection.

5.     Receiving visitors and introducing them to leaders, members and other visitors.

6.     Escorting Visitor to Membership Committee Chair for Orientation.

7.     Making advance payments and settling bills after completion of the meeting.
